maintain charts of accounts



Chat of accounts:
A chart of accounts is a listing of the names of the accounts that a company has identified and made available for recording transactions in its general ledger. A company has the flexibility to tailor its chart of accounts to best suit its needs, including adding accounts as needed.

Maintain chart of account in peach tree software
When we start a company we first of all we enter data of our company. We can enter our company data on peach tree software and we can maintain our company accounts. In the peach tree software we can maintain our company accounts by using following information:
First we open the peach tree software we select the maintain option on the top bar some statements will be open the we select the “charts of accounts”


After selecting the chart of accounts option maintain the charts of accounts will be open.

Maintain the chart of accounts sheet will open. This sheet consist of three contents that is


The first content is ACCOUNT ID. In this content we write the ID of our company accounts like 108.


The second content is description. In the description we will select the name of account like “Accounts payable”

The last content is account type. In this content we add the type of our account like “ Long term liabilities”
After filling above three step like this

We will save our account by pressing Alt + S. Our account information will be saving.




We can see our save accounts by pressing “look up button”:

We can also delete unnecessary/incorrect information by using delete button

We can also change and correct our ID by using change button that is on the top bar


By pressing change option the above page will be open and we can change the account ID.
How to enter beginning balances
After maintain chats of accounts we will enter the beginning balances by following:

By pressing the business balances option select period page will opened

In the select page we will select the beginning time period of our accounts. If our company’s trial balance as on 1, January, 2010 then we will enter beginning time period as 31, December, 2009.


After selecting the date, press “OK” then the charts of accounts beginning balances sheet will open.

In the above sheet we will enter our beginning balances of our company.

After entering the data our company’s assets and liabilities should be equal. If our assets and liabilities not equal then the difference will shows in front of trial balances. When you maintain charts of accounts you must check the accounts of ledger because when you enter the accounts on peach tree the system provide you the net income by less the expenses from the income, and post the net income automatically in retained earning ledger so you must check the retained earning accounts first.

How we can open peach tree software
When we will click on the software we will get the following  window disply


After opening the software we will open a set up of new window

When we will open the window set up  the window will required us some basic information that information are following


In this step we will provide the information of our company that is the company name , address line 1 or 2, city name, country name,telephone and fax. We can also fill the web site and e.mail address. Company name will be compulsory in the above information.

After filling the company’s information and press the next we will got the next page that is chat of accounts . chats of accounts have some further information / methods. We can set our company by using those methods. In the 1st method we can copy the accounts methods of the others company. In the 2nd method we will se up our company using an extensive chat of accounts from on of many sample companies. In the 3rd method we can set up our company by existing peachtree accounts. In the 4th step We can also convert a company from another accounting program. In the 5th method we can build our own company. After selecting the 5th option we will press the next option and got the following window:

The next step is selecting the accounting methods. Peachtree provides two accounting methods to run your business that is accrual or cash. We will select the accrual method and press the next the next window will be open.

There are two methods can be used to process transaction in a peachtree accounts that is real time and batch. In the real time method the transaction will be automatically posted to the general ledger as they are entered and saved.
In the batch the transaction are save by the program and then posted in group.we will select the real time and press the next. After pressing the next key we will open the next window that is following:

In this step we will select the accounting period. We will select the 12 month accounting period.
After that we select the monthly accounting period:

In this step we write the fiscal year of our company. if our  company start from January and ends in December . then our first  fiscal year starts from January and end in December and the fiscal month will be march when we will enter our company data.

After fulfill all required information for setting up a peachtree accounting company then finish the above process you can get the accounts on peachtree.

Opening Microsoft Word Documents
We'll shortly add an address to the top of our Library Complaint letter. Before we do that, we'll learn how to open a file. After all, you might have closed down Microsoft Word, or your computer might have crashed. The result being that you no longer have your library letter loaded into Word. So here's how to Open a file you have saved, and want to work on again.
From the File menu, click Open:



The Open dialogue box appears, and looks like the image below:
To locate the file we want, we need to open the folder called "My WP Projects". Because that's where we saved it. You can see from the image that this folder is in the list of folders, just below the folder called My Pictures:

You can see also that we are in the folder called My Documents. To open up the folder we want, simply double click it. This will take us inside the My WP Projects:

The whole Open dialogue box now looks like this:

The file we want, Library Letter, has been clicked on. As a result, the Open button is no longer greyed out. We can go ahead and click it. When we do, our letter will open in Microsoft Word.
To recap then on how to open a file. Do the following
· Navigate to the folder where the file was saved
· Click on the file to select it
· Click the Open button
OK, now that you know how to Open a file, we can start adding the address to our letter
